Views: Filtering, Sorting, and Grouping

On top of its value as a data storage tool, Airtable is also useful for data exploration. By using Airtable's filtering, sorting, grouping, and views features in combination, you can narrow down your dataset to explore or analyze particular features.

Airtable Views

Within each table of an Airtable base, you can create different views of your data, meaning you can change how data is displayed (e.g. grid, list, calendar, kanban, etc.), and apply different filters, sorts, or groupings.

A view is a different way at looking at your dataset, meaning changes that occur in one view, are automatically reflected in other views. Users can create up to 1000 views per base.e

As datasets increase in size, this becomes an indispensable tool for exploring and understanding your dataset.

Using the view sidebar, you can duplicate, favorite, sort, delete, reorder, and organize folders, and search views. See the Airtable documentation for instructions on how to create and edit views.

Customizing Views

In the top menu bar of each table provides several options for customizing the records you see in each view, and how they appear. These instructions will be geared toward working with "Grid" views, but the same principles will apply to other view types.

Hide Fields

Often times, we have more fields than we need, including extraneous linked record or lookup fields. Every field except for the primary field can be hidden in a view.

Filter Records

Airtable provides a user interface for building filtering conditions for records.

Each field type has a unique set of filtering conditions available to it. For example, records with dates can be filtered based on the exact date of a record, based on the current date, or whether the date is before or after a specific date.

Airtable also supports complex conditional filtering using boolean operators and condition groups.

Group Records

Records can be grouped by shared attributes. When records are grouped, they are added to collapsable sections and can aggregate basic descriptive statistics within groups.

Sort Records

Records can be sorted based on any field, and multiple fields can be selected and reordered to create a cascading sort. Views can be set to either sort automatically or only on command.

Color Records

Workspaces on the Teams plan or higher can color records in a grid view based on specific conditions.

Row Height

All records in a grid view must have the same row height. Airtable provides four row height options: short, medium, tall, and extra tall.

Base with Example Views

Click "Views" in the upper right-hand corner to see views for each table (or click "View larger version" to open in a new tab where views will appear in a persistent sidebar).
